Event Hosting Timeline
Initial Planning and Venue Booking:
3 Months Before: Contact venues for availability for events with 60-100 attendees.
6 Months Before: Begin preparations for larger events with 250+ attendees. Secure a venue and date.
Guest Speaker Coordination:
Research and identify the ideal guest speaker.
Communicate the event date to the speaker 1 month before or as soon as the venue is confirmed.
Promotion and Marketing:
Announce the event across newsletters, the community platform, and social media channels.
Run a promotion campaign to ensure visibility and engagement.
Attendance Management:
Track registrations and anticipate overbooking to ensure the venue reaches 100% capacity.
Day of the Event:
Gather the volunteer team and photographer before the event for setup and coordination (17.45-18.00). Normally we start Thursday at 18.30.
Run the event smoothly, ensuring a great experience for attendees.
Post-Event Activities:
Share highlights on social media platforms, including photos and videos.
Provide attendees with access to event photos/videos for their personal or professional use.
